Free The Children seeks a School & Youth Event Logistics Coordinator to join our We Day Team.The SYEL Coordinator will report to the SYEL Manager, and will be responsible for the successful implementation of We Day logistics for schools, youth and educators. The SYEL Coordinator will be responsible for communicating all logistics information to educators attending We Day with youth groups, and ensuring that they have their tickets, wristbands, seating information, parking and transportation plans in place. At the end of the program year, the Coordinator will also be responsible for putting together feedback on registration and confirmation processes in order to improve efficiency of the team moving into new We Day regions.
A minimum two-year commitment is required and there are two streams of compensation for our entry level coordinator roles:
- Housing option (available only in Vancouver and Toronto)
- Non-housing option
TheHousing optioncompensation offers a base salary
Year 1: $20,000 plus shared accommodation included
Year 2: $22,000 plus shared accommodation included
Year 2: $22,000 plus shared accommodation included
TheNon-Housingoption compensation offers a base salary
- Year 1: $27, 500
- Year 2: $29, 500
There is a six (6) month probationary period, upon reaching the three (3) month period, all staff members are offered a health plan including dental and Employee Assistant Program. The position is based out of Free The Children's International office in Toronto (233 Carlton Street). This role is perfect for a new graduate who is looking to grow and work hard for two years. Responsibilities
Project Management (in office):
- Responsible for We Day logistics, including (but not limited to):
- Data management in Salesforce and online Database systems.
- Responding to all We Act questions via phone and email relating to both the We Act program and We Day logistics..
- We Day ticketing and sending all packages of tickets and wristbands to groups.
- Developing a seating plan for We Day events for all attending groups.
- Managing school event wait list.
Project Management (in venue - We Day):
- Play an instrumental role on We Day youth greeting team, including (but not limited to):
- Working with the Event Operations Team to develop an in venue seating and entry plan for We Day.
- Distribute tickets/wristbands upon entry as necessary.
- Working with other We Day core team members to execute in venue tasks as needed.
- In collaboration with the SYEL Manager, act as a youth greeting point person on event day(s).
Reporting and Communications:
- Responsible for managing the We Act email account and responding to all inquiries (phone and email) in a timely manner.
- Update internal teams as necessary on We Act & We Day projects and/or timelines.
- Work with the Youth & Educational Programming team to identify and share participant profiles, testimonials, etc. for internal and external communication pieces related to We Day.
- Promotion of We Day webcast to Free The children stakeholders.
- Establish lines of communication with members of the Youth and Educational Programming team to meet We Day priorities and objectives.
- Assist in coordination of special projects and events as required.
- Report directly to the SYEL Manager on challenges, success, solutions and opportunities moving through the We Day season.
Skills and Qualifications
- Possess a Bachelor's degree, preferably one that involved experience in either event management, project management or education
- Ability to time-manage and multi-task in a demanding and fast-paced work environment
- Experience working with Microsoft Office Suites (eg. Word, Excel, PowerPoint, Outlook, Publisher) and knowledge of databases
- Experience with program evaluation, data collection & management and monitoring
- Experience with Salesforce and online database systems is an asset;
- Excellent oral and written communication skills
- Resourceful, self-motivated and energetic
- Ability to work well under pressure and to meet deadlines
- Demonstrated flexibility and initiative, particularly when faced with challenges
- Positive and professional attitude and ability to work as a team player
- Able to travel in Canada and internationally and to work on weekends as required.
- Must be willing to attend all We Days and be on the road (out of Toronto) for an extended period of time.
